The joint–stock company Uralkali, Russia, is a leading producer of potassium fertilizers. Its major manufacturing facilities are located in Perm Krai and St. Petersburg.

Project Overview

The project designed to create an Electronic Document Management (ETM) system using the IBA's proprietary product Chancellor aims to reduce paperwork and improve document management efficiency, as well as speed up cross–departmental workflow at Uralkali.

Using Chancellor, the customer intends to achieve the following purposes:

  • Automate document management, transformation of paper documents into digital format, and cross–departmental workflow
  • Raise management effectiveness through automation of performance control, and quick and transparent cross–departmental workflow
  • Deliver documents quickly to the executor, shorten preparation and execution time
  • Create document databases and safe document storage, eliminate document losses, achieve quick search and viewing of documents
  • Cut costs through:

- Effective management of document flows

- Use of a document database

  • Reduce paperwork and related direct expenses on printing, copying, and mailing
  • Automate archiving, including search, retrieval, storing and deletion of archive documents
  • Support groupware using workflow technology
  • Create special databases (scientific, technical, economic or statistical) of a corporate level with cutting–edge access, update and search tools
  • Automate electronic workflow management that covers the entire cycle of employee appeals and complaints in line with the current regulatory documents and normative acts.

Project Execution

IBA is implementing the system based on specific business processes and requirements of the customer. The module Local Normative and Legal Acts that covers internal normative acts relevant for Uralkali has been developed. A database of local normative and legal acts has been designed for preparation, finalization, approval, and storing of documents relevant to Uralkali activity.

Current Status: ongoing.

Project Results

The Chancellor package for Uralkali comprises Workflow, Archiving, Normative Acts, and Tasks modules. Presently, the products are being developed and replicated as requested by the customer. It is planned that Chancellor will serve more than 3,000 workstations.
