HCM implementation as a part of a full-scale SAP implementation project for a subsidiary company in Oil & Gas industry
Our client is a prominent company in the Oil & Gas industry in Eastern Europe, dedicated to the full-scale automation of its Human Capital Management (HCM), payroll, and travel management processes. This initiative is part of a strategic implementation of SAP ERP systems, aligning with templates and practices from the parent company to boost operational efficiency and streamline core administrative functions.

CHALLENGES
Automating the full scope of HCM business processes (more than 30 business functions in total) from personnel administration and organizational management to time management and payroll and cost planning, as well as travel management and talent management-related processes (recruiting, development, appraisals, training and succession).
SOLUTION HIGHLIGHTS
Phased implementation of business processes:
- Core processes of personnel administration, organizational management and time management.
- Talent management processes.
- Payroll processes.
The implementation of Travel Management according to the original plan belonged to the third phase, but for the purposes of the accounting processes, it was decided to shift the process to the first phase and deliver the functionality ahead of schedule.
We set up about 60 types of personnel actions with orders for most of them (more than 50 templates of individual orders). We also added about 8 types of seniority calculations, more than 100 types of absences (including 9 types of limits, of which 4 are vacation limits for work in hazardous conditions, automatically generated by the time evaluation based on the periods actually worked in harmful conditions), and about 500 custom types of wages.
We also implemented the calculation of wages in accordance with the country-specific legislation and the provisions of the company’s collective agreement of the company.
KEY RESULTS
- A single system for all HCM+PY processes that gives instant cross-functional access to employee data right upon its entry into the system, a single source of reliable information.
- Unification of approaches to documenting the personnel flow, time records, and business trips (for those cases where the legislation provides only guidelines, not a fixed form).
- Automation of the calculation of lengths of service, vacations (including vacations for work in hazardous conditions based on hours worked), sick leave, business trips, and social benefits.
- Reduced the terms of payroll calculation and payment by 1-3 days depending on the branch.
- Integration with the company’s other business processes.
